Under general supervision, perform a variety of difficult, responsible and specialized administrative office support functions; prepare briefing packets, conduct research and maintain specialized reports, write proclamations. Maintain records and files required in connection with the office work processes, interacts with City personnel and the public on technical matters; and performs related duties as assigned.
Incumbent in this class performs a variety of difficult, specialized administrative support functions that require a thorough knowledge of the terminology, procedures, and practices for their functional area, with a significant degree of independence and accountability for results.
Executes a variety of tasks promoting the efficient operation of the office of the Mayor as well as other departments where the administrative assistant is deemed necessary by the Mayor.
EXAMPLES OF WORK
Write letters and other correspondence, drafts memos /emails for review and submission by the Mayor in response to issues from the City’s council, departments, residents, and businesses. Write proclamations.
Attend various meetings and take detail notes. Maintain departmental mail and telephone logs. Maintain files
Follow up on work orders to ensure proper and timely action. Operates standard office, word, and data entry equipment. Processes incoming and outgoing mail. Performs other duties as apparent or assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Excellent command of Microsoft Office applications (Microsoft Word, Outlook, PowerPoint, Excel, and Publisher) and the internet; demonstrated organizational skills; proven problem-solving and interpersonal skills; experience providing complex, confidential administrative support with tact and diplomacy; proven ability to work with multiple deadlines and priorities; ability to work across a variety of projects and with diverse constituencies; and an ability to be flexible to changing office practices and procedures. Familiarity with Maryland state, county and local government processes a plus. Some evening and weekend work related to special events and meetings may be required.
MINIMUM EDUCATION AND EXPERIENCE
Bachelor’s Degree preferred; at least three (3) years of progressively knowledgeable and skilled experience in the operation of a personal computer with standard software applications and in office assistance and administrative support work; or any equivalent combination of education, training, and experience.
